The Video Calling feature allows you to easily schedule a secure and high quality video conference that is instantly accessible for participants. This guide will help explain how to use this feature.
Getting started
Start from the Dashboard and click on the "Go to Secure Video Conference" button:
The Video Conference Dashboard will list your past and upcoming video calls:
Past bookings can be easily reschedule with the same attendees by clicking the "Copy and reschedule" button.
Creating a new booking
Click the green "New Booking" button to create a new booking:
You can enter these details:
- Booking note - this is a short text field that lets you enter some reminder or memorable text to let the other participants know the purpose of the call. This text is sent through both the initial booking and subsequent reminder notifications.
- Date - the date on which the call is to take place
- Start Time - The time when the call should start
- End Time - The time when the call should end
- Timezone - The timezone in which the call is being held
- Attendees with a Traversity Profile - enter in the names of people who have Traversity profiles to use their preferred notification channel. As you type in this input box, search suggestions will appear. You will need to ensure that the selections are made for the people you wish to include. You can tell this has happened by their names appearing in rounded grey boxes.
- Attendees without a Traversity profile - enter the email address or mobile number of other attendees. As you type when a valid email or mobile number is detected a suggested option will be presented which you must select. You can tell a selection has been made when the mobile number of email address appears in a rounded grey text box.
- Sent notification prior to meeting time - If this option is selected, the attendees will receive a notification via email or sms just prior to the Start Time. You can use the slider to adjust how many minutes prior to the Start Time when these are sent.
- Send notification now with booking details - If this option is selected, a notification is sent immediately all attendees with the booking details.

Click the "Create new booking" button to schedule the call.
You will then see the booking on the VC homepage:
You can click on the "Manage" button for each booking to update any of the settings.
Joining Video Calls
You can join video calls a number of ways:
- From the Video Calling dashboard you will see a link to "join now" appear 5 minutes prior to the scheduled Start Time.
- From the notifications sent via email or SMS
You may be asked to grant permission to your audio/video devices:
